Privacy Policy

This policy explains how Aquila Specialty Services, Inc., operating Aquila Specialty Transport, handles information submitted through or collected by this public website.

Do not submit protected health information through this website.

General website forms are not an authorized channel for patient names, diagnoses, dates of birth, medical records, Social Security numbers, or emergency requests. Authorized partners should use ResponderShield Nexus (RSN) or another approved referral process. Call 911 for an emergency.

1. Scope

This policy applies to the public Aquila Specialty Transport website. It does not replace the privacy notices, Business Associate Agreements, portal terms, client agreements, or other requirements that may apply to ResponderShield Nexus, Aquila Medical Services, an authorized transportation program, or information handled on behalf of a partner organization. For covered transportation services provided by Aquila Specialty Services, see our HIPAA Notice of Privacy Practices.

2. Information we collect

Information you provide

When you contact us, we may receive your name, organization, business email address, telephone number, organization type, service area, general timing, inquiry category, and the message or other information you choose to provide.

Information collected automatically

Our hosting and security systems may record information such as Internet Protocol address, browser and device type, operating system, referring page, pages visited, timestamps, and technical or security events. The site also requests font resources from Google; that request may transmit technical information, including an IP address, to Google under its own terms and privacy practices.

Cookies and similar technologies

The current site may use technologies necessary for basic operation, security, and user preferences. If we later introduce analytics, advertising, or other non-essential tracking, we will update this policy and provide notices or choices required by applicable law.

3. How we use information

  • Respond to inquiries and route requests to the appropriate Aquila team.
  • Evaluate service availability, program opportunities, and partner needs.
  • Operate, secure, troubleshoot, and improve the website.
  • Maintain business records and comply with contractual or legal obligations.
  • Prevent fraud, misuse, security incidents, or threats to people and systems.

Submitting the public form does not confirm transportation, create a provider-patient relationship, or replace an authorized referral and dispatch process.

4. How information may be disclosed

We may disclose information within the Aquila organization to personnel who need it for the purposes described above; to hosting, technology, communications, professional-adviser, and other service providers supporting our operations; to a contracting or referral organization when appropriate to address an authorized request; or when required to comply with law, protect rights or safety, investigate misuse, or complete a corporate transaction.

We do not sell personal information for money. If our practices change in a way that creates additional statutory disclosure or opt-out obligations, we will update our notices and controls.

5. Your choices and privacy rights

You may ask us to review, correct, or delete information you submitted through the public website, subject to identity verification and applicable legal, contractual, security, and recordkeeping requirements. Residents of certain states may have additional rights concerning access, correction, deletion, portability, or particular forms of data processing.

To make a request, email operations@aquilaspecialtytransport.com with “Privacy Request” in the subject line or contact us at the address below. We may request information reasonably necessary to verify your identity and authority. An authorized agent may submit a request where applicable law permits.

6. Security and retention

We use administrative, technical, and physical safeguards designed to protect information. No website or transmission method can be guaranteed completely secure. We retain website information for as long as reasonably necessary for the purposes described in this policy, including operational, contractual, security, dispute-resolution, and legal requirements, and then delete or de-identify it when appropriate.

7. Children’s information

This public website is intended for organizations, agencies, adult decision-makers, and general business inquiries. It is not directed to children under 13, and we do not knowingly seek personal information from children through the public form.

8. External services and links

Links to third-party websites and services are governed by their own terms and privacy practices. Aquila is not responsible for the privacy practices of unaffiliated third parties.

9. Changes to this policy

We may revise this policy as our services, technology, or legal obligations change. The effective and updated dates at the top of this page identify the current version.
